Job Description Summary:

The Department of Clinical Research and Leadership has an opening for a part-time Program Coordinator to oversee the scheduling, administration, reporting, and communication for a FEMA training grant in the area of Medical Readiness and Immediate Victim Care at Mass Casualty Events. The goal of this unique training series is to enable all disciplines of the public safety and emergency management arena to provide lifesaving medical care in the hostile environments encountered during mass casualty events.
The position will aid the faculty and staff in the training events associated with the grant requirements. These will involve multiple sites and necessitate complex coordination of people and resources.

Duties include:
- Scheduling and confirming training sites, trainers and materials necessary for successful completion of activities.
- Assist faculty with the preparation and management of the course-based FEMA training sessions and order necessary supplies that will be required to run them.
- Oversee all FEMA travel coordination and work with the Director of Business Operations on preparing and submitting pay forms, honoraria, and requisitions.
- Oversight of temporary personnel hire positions and work with HR to ensure all personnel are current within the university systems. Update personnel information to submit to HR to include but not limited to pay increases, hire date extensions, and new hire documentation.
- Complete after-action reporting, course evaluations and aggregate data for reporting purposes.
- This position performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Preferred Qualifications:

- Bachelor’s degree preferred.
- 1-2 years work experience in a relevant field preferred.
- Proficiency with word and excel.
- Familiarity with travel and expense applications.
- Incumbent is expected to work well both as part of a team and independently.
- S/He should demonstrate strong organizational skills, the ability to work with minimal direction, show initiative and be a good problem solver.
- Excellent communication skills and superior customer service are essential.
