Job Description Summary:

The Office of the Vice President for Research receives and reviews award notices, modifications, and funding notices from a very wide range of sponsors, supporting research activity across the George Washington University. Working as part of the Award Setup and Subaward Management Team and reporting directly to the Sponsored Project Manager – Award Setup and Quality Assurance, the Award Analyst manages the award intake and award set-up/modification process for all sponsored projects at the university. The Analyst works with the Intake Team to prioritize the university research portfolio and subsequently to set-up and modify all sponsored projects within an ERP Grant Module, a data collection system, and payroll system. The Award Analyst reviews all incoming amendments, modifications, and new funding notices for: funding mechanism, cost allowability, compliance needs, financial reporting and invoicing requirements, property disposition, interdisciplinary needs, and budgetary constraints. The Award Analyst manages the data input process which includes data collection, system interface, validation of system functionality, and any quality assurance needed. The Award Analyst works with a wide range of sponsors and sponsored projects terms and conditions and resolves any pending information directly with the sponsor. The Award Analyst ensures the full functionality of the awards in respects to the revenue recognition, financial reporting, and invoicing. The Award Analyst has overall responsibility for the award set-up process and is required to act in the role of liaison with sponsors, other central offices such as Grants and Contracts Accounting Services (GCAS) and Procurement, and manage the set-up process on behalf of the department and their needs. The Award Analyst coordinates award setup efforts for large and/or cross-disciplinary awards, communicating with various stakeholders and ensuring accurate and timely award setup. Specific duties and responsibilities include:

Translates analyzed data and sets up sponsored research award information in EAS, Award Tracking Portal (ATP), and Banner in coordination with GW Grants and Contracts Accounting Services, and Systems Analytics and Insights Group, with a high degree of accuracy. Award information includes, but is not limited to, information related to sponsors, award types, GW Schools/Departments/Organizations, federal regulations, contractual terms and conditions, award personnel, budget information, billing information, revenue recognition, indirect rates, and cost principles utilized.

Analyzes and identifies terms and conditions of the sponsored projects for conditions such as revenue recognition status, appropriate cost schedule, involving terms and conditions, property disposition, financial reporting needs, interdisciplinary needs, and budgetary adjustments.

Obtains and maintains expert knowledge of the GW processes, procedures and policies related to sponsored projects including the personnel and organizations involved and the documentation used. Obtains and maintains expert level knowledge of the information systems, including required data, functionality, connectedness and systematic nature of all award setup tasks, for the GW Enterprise Accounting System (EAS) and the award tracking subsystems related to award setup. Ensures proper documentation and prior approvals have been correctly completed, met and approved.

Ensures proper coordination and completeness of integrated information between award tracking subsystems and EAS and EAS functionality. Ensures functionality, quality, and compliances for Grant Management tool and ERP Grant Module, and ensures document of record is complete. Maintains systems for changes, revenue distribution, internal changes requested and ongoing system maintenance.

Identifies areas of improvement, work with SAIG and DIT to resolves system issues and complete project work in areas of improvement. Reviews and maintains documentation related to processes (e.g., award setup training materials, checklists, etc.).

Performs other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 5 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study plus 3 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

• Familiarity with award grants and contract document elements including scope and terms and conditions.
• Experience with principles, practices, procedures and regulations related to Federal and non-Federal sponsored research in an academic setting.
• Working knowledge of compliance areas that affect sponsored research such as: Export Control, Human Subjects Research, Animal Research, Conflicts of interest, and financial conflict of interest.
• Advanced knowledge on 2 CFR Part 200 and the administrative requirements, cost principles, and audit requirements for federal awards.
• Working knowledge of general accounting principles, budgetary processes, and budget reconciliations.
• Advanced knowledge of standard contractual terms and conditions both non-federal and federal and how they impact award lifecycle.
• Demonstrate commitment to operational excellence.
• Ability to work independently and to prioritize workloads of multiple schools or units.
